Help Needed at Each Dance
The easiest way to make a big difference is to help at a dance. Here are short descriptions of each job; detailed instructions will be provided to those who actually volunteer.
To volunteer, email the board at board@hatds.org.
Must sign up in advance:
- Dance manager (arrives at 7:00)
- Hall Opener (arrives at 7:00)
- Door Manager (arrives at 7:15)
- Sound Tech (arrives at 7:00)
Can be filled the night of the dance:
Dance Manager
Responsible for:
- Reminding other volunteers in advance.
- Having keys to the door, closet, and sound cabinet (or making sure someone brings them).
- Having instructions for the alarm system.
- Making sure the hall is unlocked at 7:00 and the security system turned off.
- Turning on the lights and setting the A.C. to 65.
- Making a record of where the chairs and tables are so that they can be returned to the normal position.
- During the break, totaling and recording the door receipts, and paying the band and caller.
- Making sure everything is put back.
- Board members in attendance (especially the treasurer) will help with these tasks.
The Dance Manager, because of the nature of the duties required, gets in free.
Hall Opener
Responsible for:
- Buying two bags of ice in advance, and arriving at 7:00.
- Setting up table by the top of the stairs, chairs along the side, clearing the dance floor of chairs and tables.
- Setting up water and lemonade.
- Setting out signs outside.
- Dance manager, board members in attendance, and others will help.
Door Manager
Responsible for:
- Greeting people and taking money from 7:15 through the end of the first dance.
- Getting volunteers lined up to be door greeters (until the break).
Door Greeters (rotates during the evening)
- Sit at the admission table, greet dancers, and make sure people sign in and pay.
- Generally sign up for small time increments (one or two dances).
Sound Tech
Sets up sound equipment at 7:00 and runs sound check around 7:30, adjusts as needed during the dance, oversees taking down and storing sound equipment after dance. This job requires training and, ideally, a one dance apprenticeship with an experienced sound tech.
Hall Closer(s)
Put everything back where it belongs. Sweep. Usually enough dancers stay and help with this.
